1. Introduction and Privacy Commitment

At Logbook 365, the privacy, security, and confidentiality of pilots' and crew members' aeronautical information constitute our foundational pillar. This application was designed under the principle of Privacy by Design and a strictly Local-First technical architecture.

This Privacy Policy describes in a transparent, rigorous, and detailed manner how your information is managed, stored, and protected when using the application, as well as the technical and legal foundations that guarantee you maintain exclusive control and ownership over all your records.

Our guidelines comply with the most stringent international standards regarding data protection, including the governing principles of the European Union General Data Protection Regulation (GDPR - Regulation EU 2016/679), the California Consumer Privacy Act (CCPA/CPRA), Apple ecosystem privacy guidelines, and applicable aviation regulations on electronic flight logbooks (FAA, EASA, ICAO, UAEAC, DGAC).

2. Categories of Processed Data

Logbook 365 only processes the operational information you voluntarily enter to manage your flying career:

Pilot Profile and Identification: First and last names, pilot license/certificate number, type ratings and endorsements, national ID or passport number, airline or air operator, home base (ICAO/IATA airport codes), telephone number, and contact email address.
Flight Logs and Operational Activities: Flight dates, departure, arrival, and alternate aerodromes, block/chock times (Out / In) and flight times (Off / On), total flight duration, crew duty capacities (PIC, SIC, Dual Received, Flight Instructor / FI), operational flight conditions (day, night, actual IFR, simulated instrument under the hood), instrument approach types (ILS, RNP, RNAV, VOR, visual), day and night landing counts, cross-country flights, technical remarks, and associated crew members.
Signatures and Digital Endorsements: Vector stroke captures of flight instructors' and pilots-in-command electronic signatures for certification, validation, and endorsement of flight training hours and checkrides in compliance with FAA 14 CFR Part 61.51 and EASA Part-FCL.050.
Operational Support Databases: Aircraft registry (tail number/registration, model, manufacturer, category, class, engine and landing gear specifications), crew and contact directory, airport and runway database, and personal technical notes.
Certificates and Aeronautical Documentation: Aviation medical certificates (Class 1, 2, and 3), pilot certificates/licenses, flight reviews (BFR), instrument proficiency checks / recurrent training (IPC), and ICAO English language proficiency ratings, along with their respective dates of issuance and expiration.

3. 100% Local Storage Architecture

On-Device Sandboxed Storage: Your entire logbook database, profiles, certificates, signatures, and settings are stored exclusively within the internal storage and isolated application sandbox (App Sandbox) of your Apple device.

No Proprietary Central Servers: The developer of Logbook 365 neither operates nor maintains central servers, remote databases, or network proxies designed to harvest, host, inspect, or process your flight entries or personal data. Your data never leaves your device unless you voluntarily export it or sync it through your personal iCloud account.

Hardware Encryption at Rest: Data files stored on the device are protected via the native iOS Data Protection subsystem (Data Protection API), leveraging industry-standard AES-256 hardware encryption managed directly by Apple's processor and operating system.

4. Sync and Backups via Apple iCloud

Private Ubiquitous Container (iCloud Drive): Backup and synchronization functionality across your Apple devices operates exclusively through the private iCloud container (NSUbiquitousContainers) associated with your personal Apple ID account.

Zero-Knowledge Architecture: The Logbook 365 development team has no access, visibility, custody, or decryption keys for backup files stored in your iCloud account. Transmission and storage occur directly between your device and Apple data centers.

Apple Governance and Policies: The security, availability, and confidentiality of cloud storage are governed by the Apple iCloud Terms of Service and Privacy Policy.

5. System Permissions and Technical Rationale

Logbook 365 only requests essential permissions required to perform its advanced operational features. The technical justification and safeguards for each are detailed below:

Biometric Authentication (Face ID / Touch ID / Optic ID - LocalAuthentication): Allows you to securely authorize and stamp your cryptographic digital signature on flight log entries. Authentication occurs entirely within your device's secure processor (Secure Enclave); the app never accesses your biometric data or facial/fingerprint images.
Camera (AVFoundation): Used exclusively for real-time QR code scanning during peer-to-peer transfers of flights, pilot profiles, or crew records. Video feeds are processed in volatile memory without capturing photos or saving video files.
Photo Library and Photo Picker (PhotosUI): Allows you to voluntarily select aircraft photos, license and medical certificate attachments, or decode QR codes from images. The app only accesses items explicitly selected by the user via the secure system picker.
Location Services (CoreLocation): Used on-demand and solely 'While Using the App' (When In Use) to identify the nearest aerodrome, calculate great-circle distances, and autofill time zones and UTC times in flight entries. Continuous tracking and background geolocation are strictly not used.
Contacts Address Book (Contacts): Allows you to voluntarily import contact details for copilots (SIC), flight instructors (CFI), or crew members from your device's address book into your crew directory. Imported data remains strictly confined locally within the app.
Calendar Integration (EventKit): Facilitates creating and syncing flight events, duty periods, and aeronautical document expiration alerts with your iOS Calendar app. The app only creates authorized calendar entries and never reads your personal calendar data.
Local Notifications (UserNotifications): Generates local preventive alerts regarding the expiration of medical certificates, flight reviews (BFR/IPC currency), and flight and duty time limitations (FRMS). These alerts are scheduled and triggered 100% on-device without external push notification servers.
Microphone and Voice Recognition (Speech / Apple Intelligence): Enables intelligent voice dictation of notes, log forms, and airport lookup using the ICAO phonetic alphabet (e.g., 'Sierra Kilo Bravo Oscar'). Audio processing is performed primarily on-device (On-Device) leveraging Apple services.

6. Transactions and Subscriptions (StoreKit)

Optional subscriptions to Logbook 365 Pro (monthly, semi-annual, or annual) and in-app purchases are processed entirely through the Apple App Store payment gateway using the StoreKit 2 framework.

The developer of Logbook 365 does not collect, receive, or store credit card information, bank account numbers, or personal billing data. All payment processing, billing, auto-renewals, and cancellations are managed with absolute confidentiality by Apple Inc.

7. Generation and Export of PDF Logbooks

Logbook 365 includes on-device report engines certified in official logbook layouts compliant with EASA, FAA, TCA, UAEAC, and DGAC standards.

Compilation and rendering of PDF documents is performed instantly in your device's volatile memory. Exporting, external storage, emailing, or physical printing of these reports is carried out via the standard iOS share sheet (UIActivityViewController) under your sole discretion and custody.

8. Non-Commercialization and Anti-Tracking Policy

Our policy against the commercial exploitation of data is absolute and without exceptions:

Zero Sale or Leasing of Data: We will never sell, rent, lease, or disclose your personal data, flight logs, or operational histories to data brokers, insurance companies, advertisers, or third-party entities.
No Ad-Tracking SDKs: Logbook 365 does not include invasive third-party analytics libraries or cross-app tracking identifiers (IDFA / App Tracking Transparency). Your browsing and logging activity is never monitored or profiled.

9. Data Subject Rights (ARCO and GDPR)

In accordance with ARCO rights and the GDPR framework, you have the following full and direct powers over your information:

Right of Access and Transparency: You can inspect all data and records stored within the application at any time.
Right to Rectification: You may directly edit, correct, and update any flight details, personal data, or documentary records within the entry forms at any time.
Right to Erasure ('Right to be Forgotten'): You can delete individual entries or purge the entire logbook database from the app settings. Deleting the app and its iCloud backups permanently and irreversibly destroys all data.
Right to Data Portability: You may export structured backups in open formats (JSON) and standard logbook reports in PDF format at any time.

10. Security and Technical Safeguards

We implement cutting-edge technical and organizational safeguards: iOS Sandbox process isolation, secure local biometric access, hardware cryptographic storage, and a zero-central-server architecture.

We recommend that all users keep their device security measures enabled: secure passcode, biometric authentication (Face ID / Touch ID / Optic ID), two-factor authentication on their Apple ID account, and regular logbook backups.

11. Children's Privacy

Logbook 365 is intended for professional pilots, cabin crew, and flight training students. The application does not knowingly collect personal data from minors under 13 (or 16 depending on the applicable jurisdiction) without the authorization and supervision of their guardians or authorized instructors.

12. Updates to this Policy

We reserve the right to modify this Privacy Policy to reflect operational improvements, new technical capabilities of the app, or updates in aviation or data protection regulations. Any update will take effect immediately upon posting within the application, visibly indicating the date of the last revision.
