Getting started manual and operational architecture of Logbook 365. Learn about the organization of the digital logbook on iPhone, iPad and Mac, total autonomy without an internet connection on a cruise, the daily cabin workflow and optimized touch interactions.

Multiplatform Interface and Navigation Environment

Logbook 365 offers an interface adapted to the ergonomics of each cabin and device. On iPhone you have a dynamic bottom tab bar that fluidly minimizes during vertical scrolling to maximize data reading, while on iPadOS and macOS you have a persistent sidebar (Sidebar) with 23 structured shortcuts for quick query, auditing and database management.

  1. Log Module (Clock with Airplane)

    Nerve center where you view your chronological flight history, grouped by month and year. Includes the main button (+) to record flights, simulators, reservations or ground activities.

    Pressing the active Logbook tab instantly returns the list to the most recent flight.

  2. Statistics Module (Column Chart)

    Analytical dashboard with accumulated totals of flight hours, breakdown by command function (PIC, SIC, Dual, Instructor), aircraft categories and compliance with recent activity limits.

  3. Maps Module (Globe)

    Interactive cartography with projection of great circle routes between aerodromes, satellite relief layers and catalog of runways visited in the world.

  4. Database Module (Folder)

    Master directories of your operation: aircraft fleet, FSTD devices/simulators, global airports, cabin crew and medical certificate control.

  5. Configuration Module (Gear)

    Time format adjustments (Decimal vs HH:MM), time reference (UTC vs Local), pilot profile management, cloud synchronization, forensic audit and backups.

Standardized Cabin Workflow (SOP)

To maintain a pristine logbook ready for aviation authority inspections, follow this standard procedure for each flight leg:

  1. Pre-flight and Route Data

    Open a new record by pressing (+). Select the registration number of your aircraft (model, class and variant will be auto-completed) and enter the departure and destination ICAO/IATA codes.

    If you fly with a previously registered crew member, select them from the list to link their license.

  2. Exit Blocks (Out)

    When starting the movement of the aircraft by its own means or tow, note the time of departure of chocks (Out).

  3. Takeoff (Off) and Landing (On)

    Records the time the wheels leave the track (Takeoff/Off) and the moment the wheels touch down at the destination (Touchdown/On).

    The difference between Off and On constitutes your net flight time (Airborne Time).

  4. Arrival (In) and Closing Blocks

    When the engines are completely stopped in the park position, it records the chock time (In). The app will automatically calculate the total time block by block (Block Time).

  5. Conditions and Certification

    Confirm takeoffs and day/night landings, the instrument breakdown (IFR) and request the in-person signature on the screen from the instructor or co-pilot if applicable.

Touch Gestures and Quick Access

Designed for agile one-handed operation during flight stopovers and rotations:

  1. Swipe Right

    In any flight history row, swipe right to quickly duplicate the record (ideal for return flights with reverse origins and destinations) or share the flight.

    By doubling, the crew and the aircraft are preserved, making it easier to fill the return leg.

  2. Swipe Left

    Swipe left to request an in-person digital signature, export the folio to PDF format or delete the record with security confirmation.

  3. Long Press (Context Menu)

    Press and hold any flight in the list to display a quick menu with summary of times, signature status and direct editing options.

  4. Search with Voice Dictation

    Press the microphone icon in the search bar to dictate license plates, aerodrome codes or crew members' last names without having to type on the keyboard.

Frequently asked questions

Can I use the app in airplane mode throughout the flight?

Yes, totally. Logbook 365 was designed under the disconnected cockpit philosophy. You can register flights, consult databases and calculate hours at any time without internet.

How does my data sync between my iPhone, iPad and Mac?

Synchronization is done through your personal iCloud account in the background. When the device detects an internet connection, it automatically updates the data without you having to press any button.

What happens if the app closes unexpectedly while I'm booking a flight?

Logbook 365 features state persistence protection so that edited fields are not lost when switching between navigation applications during flight.

IdentityPilot Profile & Licenses

Complete your personal information, aeronautical licenses, medical certificates and digital signature.

Pilot Profile Manual: official identity administration, sealed user code, history of operational bases, licenses and ratings with preventive expiration traffic light, medical evaluations and digital handwritten signature.

User Name and Traceability Seal

The Logbook 365 User Name constitutes the unique and unalterable identifier of your digital log in relation to other crew members, instructors and aeronautical authorities:

  1. Activation Prerequisites

    Before setting your User Name, you must have completed your official Full Name and your Identification Document in the profile form.

  2. Unalterable Fixation

    Choose your Username carefully. Once verified and registered, it is permanently sealed in your log and in the cloud to guarantee that no digital signature or endorsement can be altered or spoofed.

    It is recommended to use a professional format such as first and last initial or airline crew code.

  3. Regulatory Transparency

    Due to strict aeronautical regulations for traceability of official signatures, your Name, User Name, License and Identification Number are public elements for verification between pilots.

Personal Data and Main Base of Operations

Your profile information automatically tops official printed pages and PDF exports (FAA 8710, EASA, Jeppesen, UAEAC, etc.). It must match exactly the documents issued by your aeronautical authority:

  1. Profile Photography

    Tap the image circle to capture a photo with the camera in uniform or select it from your photo library. This image is used on your crew member contact card.

  2. Full Name and Identity Document

    Enter your first and last names exactly as they appear on your passport or pilot's license. Select the type of document (Citizenship Card, Passport, Immigration Card) and its official number.

  3. Date of Birth and Age Calculations

    The date of birth allows the application to calculate your current age and automatically evaluate the validity windows of medical certificates according to the criteria and ranks applicable in your selected aeronautical authority.

  4. Main Base Airport (Home Base)

    Select your main operating aerodrome using the search engine (ICAO or IATA code). The app will use this airport as the default suggested origin when creating new flights.

  5. Company, Airline or School

    Indicate your current air operator or aviation school to link it to the report covers and institutional pages.

History of Assignments and Operational Bases

It allows you to formally document rotations and changes of base of operations throughout your career as a pilot:

  1. Add Base Period

    In the 'Operational Base History' section, click 'Add Base'.

  2. Airport and Time Range

    Select the aerodrome by ICAO or IATA code and set the start date of your assignment.

  3. Active Base or End Date

    If you are currently serving at that base, activate the 'Current Base / Open Period' selector. Otherwise, define the date your assignment ended.

    This record is essential to justify travel expenses, overnight allowances and compliance with FDP before airline audits.

Licenses, Medical Certificates and ICAO Level

Rigorously manage all your flight credentials with automatic expiration alerts:

  1. Registration of Licenses and Ratings

    Add your licenses (Student, Private, Commercial, Airline Transport, Flight Instructor, Cabin Crew). Indicates the official number, the issuing authority (FAA, EASA, UAEAC, etc.), the date of issue and expiration.

    You can attach scanned photos of the physical license to present at ramp inspections.

  2. Preventive Expiration Traffic Light

    Each document has an automatic visual indicator according to the days remaining: Green (more than 60 days valid), Yellow (less than 60 days - caution), Orange (less than 30 days - attention required), and Red (less than 15 days or expired document).

  3. Aeronautical Medical Certificate

    Record your Class 1, Class 2, or Class 3 medical evaluation, exam date, expiration date, and literally transcribe the medical limitations recorded (example: 'Must wear corrective lenses for near vision').

    Recorded medical limitations will automatically be included on the cover page of your PDF log.

  4. ICAO Linguistic Competence (ICAO English)

    Enter your aviation English language proficiency level (Operational Level 4, Extended Level 5, or Expert Level 6), the exam date, and the periodic revalidation deadline.

Digital Handwritten Signature Canvas

Draw your official signature on the tactile canvas so that it is stamped with vector clarity on the printed pages of your log:

  1. Trace the Signature

    Use your finger or an Apple Pencil on the signature box. The canvas captures the pressure and stroke of your signature with continuous vector quality.

    If you want more convenience, press the full screen button for a larger signature area.

  2. Clean and Repeat

    If the stroke is not exact, press 'Clear' to restart the canvas as many times as necessary before saving.

  3. Certification in PDF Folios

    When generating log sheets for formal presentation, your saved signature will be automatically inserted in the 'Holder Signature' box on each page, certifying the veracity of the hours recorded.

Frequently asked questions

Why can't I edit my Username after I've saved it?

To guarantee legal validity and avoid alteration of signatures on flights shared with other crew members, the User Name is permanently sealed in your database.

What happens if I have licenses from two different countries (example: FAA and EASA)?

You can add multiple licenses in the Licenses section. When exporting your PDF folios you can choose which regulatory format you want to generate and the system will adapt the cover with the corresponding license.

How does the application notify me if my medical certificate is about to expire?

The certificate icon will change color in the preventive traffic light 60, 30 and 15 days prior to the expiration date, in addition to generating warning notifications in the notice center.

Opening BalancesPrevious Experience & Totals

Upload previous accumulated hours to the app so that your historical totals and statistics are 100% accurate.

Previous Experience Manual: accounting consolidation of historical flight hours, breakdown by command function (PIC, SIC, PICUS, Solo, Dual, Instructor), FSTD simulator hours, guard and ground school activities, and mass migration using CSV template.

Accounting Baseline and Carryover Totals

When you start using Logbook 365, it is not necessary to transcribe flights one by one from your physical paper logs or previous applications. The Previous Experience function allows you to enter the consolidated subtotals of your last closed book as the 'Baseline' of your digital log:

  1. Brought Forward Principle

    The hours and operations entered in this view are automatically added to the new flights you register in Logbook 365, forming the global totals of your aeronautical career.

  2. First Page of Official Folios

    When exporting your log in official formats such as FAA 8710, EASA or Jeppesen, these values will appear on the first line of the first page under the official heading 'Time Brought from Previous Log' (Amount Brought Forward).

  3. Secure Update

    You can adjust your previous experience values at any time without altering or putting at risk the individual flights you have already recorded in the app.

Detailed Flight Experience Breakdown

In the 'Flight' tab of the top selector, enter your accumulated hours in real aircraft classified under international aeronautical standards:

  1. General Flight Totals

    Records the 'Total Flight Hours' accumulated from block to block (Block Time) and the historical number of 'Flights' made.

  2. Time per Onboard Flight Function

    Break down your hours according to your legal operational role: PIC (Pilot in Command), SIC (Second in Command / Co-pilot), PICUS (Pilot in Command under Supervision according to EASA regulations), Solo (Solo flights as a student), Instruction Received (Double command with instructor / Dual), Instructor (Hours providing active instruction), Multipilot (Multiple crew of two pilots), IFR (Instrument Flight), VFR (Visual Flight), Night (Regulatory night flight) and Cross-Country (Point-to-point navigations that meet the distance requirements of your authority).

    The sum of roles must not exceed the general total of flight hours.

  3. Special Operational Roles

    If you have specialized experience, log your hours in: NVG (Night Vision Goggles), TRI (Type Rating Instructor), TRE (Type Rating Examiner), LTI (Line Training Instructor), LCC (Line Check Captain) and Simulated Instruments (Under Hood / Hood on real aircraft).

  4. Weather by Aircraft Category and Class

    Classify your hours according to the type of fuselage and power plant: Single-engine (SEP), Twin-engine (MEP), Multi-engine, Airplane, Ultralight, Glider, Helicopter, Non-engine or Balloon.

  5. Historical Takeoffs and Landings

    Enter the accumulated number of takeoffs and landings divided into Day and Night. This distinction is essential for the app to evaluate your recency and operational efficiency according to the limits and time windows configured in your Regulatory Base.

Simulator and Synthetic Training (FSTD)

In the 'Simulator' tab you consolidate the training hours completed on certified terrestrial devices:

  1. Simulator and Session Totals

    Enter the total simulator hours and the number of sessions completed. Due to strict ICAO/FAA/EASA aeronautical regulations, simulator hours are counted separately from flight hours in a real aircraft.

  2. Takeoffs, Landings and IFR Procedures

    Records takeoffs and landings (Day/Night), as well as the cumulative number of instrument approaches (ILS, RNAV, VOR) and holding patterns completed during training sessions.

  3. Classification by FSTD Device Type

    Distinguish your hours according to the technical category of the device: FFS (Full Flight Simulator Level A-D with full 6-axis movement), FTD (Fixed Cockpit Flight Training Device Level 4-7), FNPT (Instrumental Navigation and Procedures Trainer I-II) or AATD (Advanced Aviation Training Device).

  4. Functions and Roles in Simulator

    Specify if the hours correspond to Received Instruction (Dual), PIC, SIC, PICUS, or if you acted as a simulator instructor/examiner (TRI, TRE, SFI - Synthetic Flight Instructor).

Guards, Ground School and Activities

In the 'Others' tab you register the complementary aeronautical activities essential for the calculation of service and fatigue:

  1. Airport Reservation (Airport Standby)

    Enter the total hours and the number of in-person guard shifts completed at airport facilities.

  2. Home Reservation (Home Standby)

    Record the hours and shifts of availability at home. These times are evaluated by the FRMS module to determine regulatory breaks prior to flight service.

  3. Earth School and Theoretical Classes

    Record the hours and sessions of theoretical instruction (Ground School), annual recurring courses, type rating subjects and cabin safety training.

  4. Administrative Work

    Hours and shifts worked in operations offices, flight audit, manual management or flight dispatches.

Mass Migration and CSV Templates

If you prefer to organize your historical totals from your Mac or PC computer in Microsoft Excel or Apple Numbers, use the CSV template system:

  1. Download Blank Template

    In the 'Template and Import' section, click 'Download CSV Template' and select 'Blank Template'. A file will be generated with all the required standard columns.

    You can share the file via AirDrop, save it to Files, or email it to your computer.

  2. Download Template with My Current Data

    If you have already entered information in the app and want to back it up or edit it in a spreadsheet, download the template with your current data pre-filled.

  3. Import CSV File

    Press 'Import CSV File' and select the modified file. The application will display a preview screen summarizing the changes before committing them.

  4. Reset Values

    In case you want to reset all previous experience fields to zero, use the reset button at the bottom of the screen (requires mandatory confirmation to avoid inadvertent losses).

Frequently asked questions

How are these previous hours reflected in the printed PDF reports?

They appear on the first line of the first page under the heading 'Amount Brought Forward', progressively adding to the subtotals on each subsequent page.

If I change my previous hours in the future, will the flights I have already registered be altered?

No. Your individual flights remain completely intact and unaltered. The app will recalculate the accumulated balances by adding the new base line to the sum of your registered flights.

Can I enter hours in HH:MM format and also in decimal?

Yes. The app respects the time format preference you have selected in Settings (Decimal or HH:MM) and adapts all input numeric fields.

View, filter by dates and aircraft, search and manage your saved records with preview.

Flight History Manual: chronological query of records, pilot limits control card, quick registration bar, chromatic customization of rows, unified search engine with voice dictation and multi-criteria filters.

Pilot Control and Limits Card

At the top of the history the Pilot Control Card is displayed, designed to provide an instant summary of the operational status and compliance with legal limits:

  1. Total Accumulated Hours

    Shows the general sum of flight time in your aeronautical career, consolidating the previous historical hours plus the flights recorded in the application.

  2. Flight Limits Traffic Light

    Monitor your accumulated hours in regulatory periods (monthly, annual or others) according to the limits defined in your profile. The visual traffic light alerts in Green (normal operation), Yellow (caution when reaching the configured warning threshold) and Red (regulatory limit reached or exceeded).

    The hour limits and alert thresholds are customized in Configuration > Regulatory Base / Limitations.

  3. Inactivity Control (Days without Flying)

    Counter in days since your last registered flight. If you reach or exceed the maximum days without flying threshold established in your settings, the app displays a prominent alert to warn of the risk of operational downtime.

  4. Recency Rule and Recent Landings

    Evaluate the number of takeoffs and landings completed within the window of days of proficiency configured in your limitations, contrasting them with the minimum required by your aeronautical authority for passenger transportation or command operations.

Quick Time Record Bar

When you need to enter hours immediately during a quick stopover without entering all secondary cabin data, use the Quick Log bar:

  1. Bar Activation

    Enable the floating bar from Settings > Log Cards > Quick Log. It will appear at the top of the history.

  2. Immediate Entry of Times

    Enter the usual registration number, origin, destination and duration of the flight; Press 'Quick Save' and the flight will be created instantly with the minimum regulatory data.

    Later you will be able to open the flight and complete the breakdown of approaches, crew and signatures.

Customization of Rows and Color Code

Logbook 365 allows you to adapt the visual appearance of each history row according to your operational preferences:

  1. Presentation Styles

    In Settings > Log Line Format you can choose between Modern style (card with rounded edges and bold typography) or high-density compact styles.

  2. Chromatic Code by Activity

    Each record displays a distinctive color according to its nature: Flight (Blue), Simulator (Green), Ground School (Violet), Airport Reservation (Pink), Home Reservation (Brown), Administrative (Gray) and Day Off (Yellow).

    You can customize the color palette of each activity in Format Settings.

  3. Flags of Countries in Aerodromes

    Next to each ICAO or IATA code of departure and arrival, the national flag of the country of the aerodrome is automatically displayed to facilitate visual geographical recognition of the route.

  4. Highlighting Future and Draft Records

    Shifts or flights scheduled after the current day are highlighted with a distinctive soft border. Flights marked as draft (incomplete or pending) are identified with a warning indicator to prevent you from forgetting to close them.

Monthly Grouping and Gesture Interactions

Efficient navigation and quick one-finger actions:

  1. Month Headers with Subtotals

    Flights are automatically grouped by month and year. Each header shows the total flight hours and service hours accumulated exclusively in that calendar month.

  2. Swipe Right

    Swipe any flight to the right to duplicate it (create an exact copy ready to reverse origin and destination for the return leg) or share the flight card.

  3. Swipe Left

    Swipe to the left to request an in-person digital signature from the instructor or co-pilot, generate an individual PDF folio of the record or delete the record with a confirmation dialog.

  4. Long Press (Contextual Menu)

    Press and hold any flight to open the pop-up menu with shortcuts to editing, locking, mirroring and previewing signatures.

Unified Search and Multicriteria Filters

Instantly locate any record among thousands of accumulated hours:

  1. Real Time Search

    Write in the search bar a license plate (ex: 'HK-5320', 'N172SP'), a model (ex: 'A320', 'C172'), an aerodrome code (ex: 'SKBO', 'MIA') or the last name of a crew member.

  2. Voice Dictation

    Tap the microphone icon in the search bar and dictate in aeronautical language for the system to filter immediately without touching the keyboard.

  3. Filters by Date Range

    Quickly filter by: Last 7 days, Last 28 days, Last 90 days, Current month, Current year, or Custom date range.

  4. Filters by Function and Condition

    It exclusively isolates flights such as PIC, flights under instrument rules (IFR), night flights or simulator sessions.

Frequently asked questions

How do I quickly identify a flight that I left in draft?

The drafts show a reddish indicator on the side of the card and lack the closure seal. You can click on the record to complete any missing details or details.

Why do I see future dated flights in my history?

Logbook 365 allows you to schedule your future flight slots assigned by your airline or school. They appear highlighted with a soft border so that you can distinguish completed flights from scheduled ones.

How can I verify if I meet the recent landing and takeoff requirements (Recency)?

In the Pilot Card or in Statistics > Recency, the app compares your takeoffs and landings (day and night) with the regulatory minimums and the window of days configured in your Regulatory Base / Limitations.

Master the operational form for real flights, OOOI blocks, service, reservations, simulator and days off.

Flight Recording Form Manual: the 7 types of operations, OOOI times (chocks and flight), flights with multiple stops (+), night solar astronomical calculation, IFR/VFR conditions, approaches, crew members and signatures.

The 7 Types of Operational Record

In the upper selector of the form you define the type of activity you are going to register. Each option dynamically adapts the required fields:

  1. 1. Royal Flight

    For operations carried out on real aircraft. Enables OOOI times, chock hours, net flight hours, day/night landings, approaches and flight conditions.

  2. 2. Simulator (FSTD)

    For sessions on FFS, FTD or FNPT devices. It does not add hours of real flight but accumulates synthetic training time and simulated instruments.

  3. 3. Reservation at the Airport (Airport Standby)

    On-site guard at airport facilities. Requires airport and service time window; It does not generate flight hours but feeds the flight service control (FDP).

  4. 4. Reservation at Home (Home Standby)

    Period of availability at home. Records base and assigned time for the calculation of rest prior to the flight call.

  5. 5. Ground Class / School (Ground Training)

    Theoretical training, CRM courses, dangerous goods or team transitions. Register base, schedule and topic of instruction.

  6. 6. Administrative

    Technical office shifts, operational safety audit, offices or ground management.

  7. 7. Free Day

    Day free of all regulatory services for the calculation of minimum mandatory weekly and monthly breaks.

Route, Aircraft and Flights with Stopovers (+ Button)

Completion of flight data and management of multi-destination routes:

  1. Aircraft Selection

    Write or select the registration number of your plane. The app will automatically populate the ICAO model, engine variant (piston, turboprop, jet), class (single-engine, multi-engine) and weight class.

    If the registration does not exist in your database, it will be automatically created as a new aircraft.

  2. Origin and Destination Airports

    Enter the ICAO or IATA codes for departure and arrival. The system will validate its coordinates for mapping and astronomical calculations at night.

  3. Flights with Multiple Stopovers (Button + Stopover)

    If your day includes multiple legs on the same day (for example: SKBO - SKRG - SKCL - SKBO), you do not need to create separate records. Press the (+) Scale button to add intermediate sections. Logbook 365 will add the total times and consolidate the flight into a single official row.

    By adding intermediate stops, the aircraft and crew are preserved, greatly speeding up filling.

OOOI Cycle and Flight and Service Times

The global aviation standard for flight times is made up of four key events:

  1. Out (Off-Block / Chock Output)

    Time when the aircraft begins its movement under its own power or by towing (Pushback).

  2. Off (Airborne / Takeoff)

    Moment when the aircraft's wheels separate from the runway.

  3. On (Touchdown / Landing)

    Moment of contact of the wheels with the destination track.

  4. In (On-Block / Arrival at Calzos)

    Time at which the aircraft comes to a complete stop in the parking position and is chocked.

  5. Chock Time vs Flight Time

    Block Time = In minus Out. Flight Time (Airborne Time) = On minus Off. Logbook 365 calculates both values ​​automatically and immediately.

  6. Service Times (Auto ON)

    If you activate the 'Auto ON' service switch, the app will automatically add your configured pre-presentation (briefing before Out) and post-close (debriefing after In) margins to calculate your total flight service time (FDP).

    These margins are customized according to the policies of your operator or authority in Form Settings.

Landings, Solar Night and IFR Procedures

Rigorous breakdown of flight operational conditions:

  1. Takeoffs and Landings (Day / Night)

    Records the exact number of landings and takeoffs made day and night. The system validates that the sum of day and night landings is equal to or greater than 1 in each section.

  2. Solar Astronomical Calculation at Night

    Logbook 365 incorporates a solar astronomical engine: based on the GPS coordinates of the origin and destination airports and the flight times, it determines with mathematical precision how many minutes corresponded to a night flight (between the end of the evening civil twilight and the beginning of the morning civil twilight).

    You can accept the suggested solar value or adjust it manually at the discretion of your authority.

  3. Flight Conditions (IFR / VFR)

    Enter hours flown under instrument flight rules (real IFR in IMC clouds or simulated hooded) and hours under visual flight rules (VFR).

  4. Instrumental Approach Procedures

    In the procedures section, select the type of approach executed: ILS (Cat I, II, III), RNAV / RNP, VOR, NDB or Visual, indicating the runway and the number of holds completed.

Crew, Roles and Digital Signature

Assignment of duties on board and certification of registration:

  1. Crew Selection

    Add the Captain (PIC), First Officer/Copilot (SIC), or Instructor from your crew database. Their names and license numbers will be included in the report.

  2. Onboard Function

    Define your legal role in the flight: PIC (Pilot in Command), SIC (Second in Command), PICUS (Pilot in Command Under Supervision), Solo, Instruction Received (Dual) or Instructor.

  3. Screen Signature and Lock

    If you require an instructor or supervisor signature, click on the signature box so that the holder draws his or her signature on the screen and registers his or her license number. Once verified, activate the Lock switch to protect the registry from inadvertent modifications.

    Locked records cannot be edited unless you consciously disable the security lock.

Frequently asked questions

What do I do if my plane does not record takeoff and landing times (Off/On)?

If you fly on aircraft where the company or school only registers chocks (Out/In), you can leave the Off and On fields empty; The app will compute the total time from the chock time.

How does the calculation of night hours work if we take off at dusk?
